This policy explains what personal information UltraSync collects through this website, why, how long we keep it and the choices you have.

1. Who we are

This website is operated by UltraSync (“UltraSync”, “we”, “us”). We decide how the personal information described here is used. To contact us about privacy, use our contact form.

2. What we collect and why

We only collect what we need for each feature you choose to use:

  • Project inquiries. When you send the “Start your project” form we receive your name, email, and anything else you choose to add (company, phone, services, budget, timeline and your message). We also note the page you sent it from and how you arrived on the site (the referring website and campaign tags such as utm_source). We use this to reply, to prepare a proposal, and to understand which channels bring us clients.
  • Website assistant. Messages you write to the assistant, the page where the chat started and, if you ask to speak to a person, your name and email. We use them to answer you and to improve the assistant's answers. The assistant is automated and rule-based; it does not send your messages to third-party AI services.
  • Community accounts. Your display name, email and password (stored only as a one-way Argon2 hash, never in readable form), the messages you post, your reactions, and any reports you make. Your display name and posts are visible to anyone who reads the community.
  • Notifications. If you turn on browser notifications, we store the technical address your browser gives us for delivering them and which notifications you chose. Turning notifications off deletes this.
  • Security and operation. To keep the site working and safe, our servers briefly process technical data such as your IP address and browser type (for example to limit repeated sign-in attempts or spam).

We do not sell your personal information, and we do not use it for advertising profiles. This site currently uses no analytics or advertising cookies; see the Cookie Policy.

4. How long we keep it

  • Project inquiries: deleted automatically 24 months after the last activity on them, unless you become a client.
  • Assistant conversations: deleted automatically 180 days after the last message.
  • Community accounts and posts: until you ask us to delete your account. Messages you delete are removed from view straight away.
  • Sign-in sessions: up to 12 hours, or until you sign out. Password reset links expire after 30 minutes.
  • Notification subscriptions: until you turn notifications off, or the browser stops accepting them.

5. Who we share it with

We use trusted service providers that process data only on our instructions: our hosting and database providers, our email delivery provider (to send replies, confirmations and password reset emails) and, if you turn on notifications, your browser's own push service (for example Google, Mozilla, Microsoft or Apple).

We may also disclose information if the law requires it, or to protect the rights and safety of our users and our business. Some providers may process data outside your country; where that happens we rely on appropriate safeguards.

6. How we protect it

The site is served over encrypted connections. Passwords are stored only as strong one-way hashes, sign-in sessions are protected cookies that scripts cannot read, team access is limited by role and recorded in an audit log, and forms are protected against automated abuse. No system is perfectly secure, but we work to protect your information and will notify you and the authorities of a breach where the law requires it.

7. Your rights

Depending on where you live, you can ask us to access, correct, delete or export your personal information, to restrict or object to how we use it, and to withdraw consent you gave. To make a request, use our contact form. We will reply within one month and may need to confirm your identity first.

You also have the right to complain to your local data protection authority.

8. Children

This website is meant for businesses and adults. We do not knowingly collect information from children under 16.

9. Changes to this policy

If we change how we handle personal information, for example before adding analytics, we will update this page and the “last updated” date above, and ask for your consent where the law requires it.
